The Consignment Spreadsheet Trap

Almost every shop we work with has the same origin story. They started on paper, it got messy, so they built a spreadsheet. For a while it felt like a real upgrade. Columns for the item, the consignor, the price, the split. Sortable, searchable, a genuine step forward.

Then the shop grows, and the spreadsheet quietly turns from the solution into the bottleneck. Here is how that happens, and why it is not your fault.

The spreadsheet is still double entry

This is the part most owners miss. The spreadsheet did not remove the retyping, it added a place to retype to. Every item still gets keyed into your point of sale so it can ring up, then keyed again into the sheet so you can track it. You are still entering everything twice, you just feel more organized while you do it.

One person becomes the spreadsheet

There is always someone who knows the sheet. They built the formulas, they know which tab is current, they know not to touch column F. The day that person is out sick during a busy intake, the whole thing stalls. A spreadsheet does not run your shop. A person running a spreadsheet runs your shop, and that does not scale.

It breaks in small, expensive ways

A formula gets dragged wrong. Two people save different versions. A consignor's split lands on the wrong row. None of these are dramatic, and that is the danger. They are quiet errors that surface weeks later as a payout that does not match what someone is owed, and by then the trust is already dented.

A spreadsheet records. It does not do.

This is the heart of it. A spreadsheet is a better filing cabinet, but it is still a filing cabinet. It holds information, it does not move that information anywhere. You are still the engine connecting intake to the register to the payout, by hand, every single time.

What actually replaces it

The fix is not a fancier spreadsheet. It is making the item a single connected record that flows on its own. An item is entered once at intake and already exists in your point of sale, ready to sell. Because each item carries its consignor and split, payouts calculate themselves. The spreadsheet you used to maintain becomes a report you export in one click, when you want it, not a thing you feed every day.
